Local (Parish) Fund-raising Guidelines for the Cornerstone Project

Guidance for event organisers

Step 1 Our values as a church

In all our fund raising activities we will be:

  • Legal

  • Open and transparent

  • Honest

  • Respectful

  • Wherever possible link in with the local community.

  • Consider the safety and well-being of everyone involved.

As we are a Christian Church there are certain activities that are inappropriate. These include:

  • The Occult (spiritualism, fortune telling etc.)

  • Gambling and Games of Chance

  • Direct selling of Alcohol or the excessive consumption of alcohol.

(Events that are held on licensed premises should have the prior approval of the Local Coordinating Group. Please contact any member for advice or more information. Members of the Local Coordinating Group are: Rev Sean Swindells (Chair), Alastair Burnett, Sylvia Reid, Harriet McNab, Claire Walker & Jackie Watson.

Step 2  Your idea

The sky is the limit when it comes to fund rising ideas. Be creative and try not to repeat other events.  Once you have chosen your event there are many areas that you must cover to make it a success. (Please see the separate leaflet for fund raising ideas.)

The simplest ideas are often the best. Think about your target audience. What will your friends, family and colleagues be excited to be a part of? Make sure your event is actually going to raise money and that the time you spend organising it is realistic.

Step 3 Choose your event

  • What the event is?

  • Is there any risks involved?

  • Who is involved?

  • Where is the event taking place?

  • When, where and what time?

  • Contact name for further information

Step 4 Making it happen

  • Make sure you have enough help and support. Do we have the people to make all parts of the event run smoothly?

  • Keep a written record of what you spend and how much you collect.

  • Use Gift Aid wherever possible. Gift Aid envelopes are available on request from any member of the Group.  Please contact the Local Fundraising Coordinating Group for more information about how to use Gift Aid.

  • Don’t forget to let the Local Fundraising Coordinating Group know! We can advise you if there are any clashes of dates or similar activities.

  • Keep it safe! Think ahead about any possible risks or danger, More advice on health and safety for organisers of volunteer led events can be found at:   If the event involves the preperation and serving of food, please follow the simple advice provided by envionmental health. Step 5 Where

Decide on a venue, check the availability and get permission.

Step 6 When

  • Decide on a time and date

  • Think carefully about clashes with other events or holidays

  • Think about the weather

Step 7 Budgeting

Set yourself a realistic target and look at how you can reduce costs wherever possible.

The Local Fundraising Coordinating Group do have access to limited funds which may be available to cover up front costs for a fund raising event. Please contact the group for more information.

Step 8 Promotion

  • Shout about your event

  • Think about who you are targeting and how they will best receive information, eg email, posters, flyers, church web page, Facebook and twitter

  • All posters, flyers, letters etc., have to include the official name of the church and charity number. In small print at the bottom of the page is fine. Our official charity name and number is: Newbattle Parish Church (Church of Scotland)  Registered Scottish Charity No SC035087

  • Think about where you want to promote – how far and wide?

Step 9 After the fun is over

Don’t forget to thank all those who took part and anybody who made donations. Forward all money collected to (to be appointed) with the completed form or pay direct into the appropriate bank account. Bank details are available from any group member.

Keep it simple, keep if fun, keep it safe, and keep it legal!
